Summary The Human Resources (HR) Assistant is responsible for the administrative support of various HR functions, including Talent Acquisition, HR Administration, Employee Services, Wellness, and Compliance. All activities must comply with Equal Employment Opportunity laws, HIPAA, ERISA and other regulations, as appropriate. The HR Assistant will demonstrate our core values, maintain confidentiality, collaborate, and work effectively and positively with the HR team and our internal clients. Education and Experience Higher education (two- or four-year college degree) or an equivalent combination of education and experience. Two (2) to three (3) years of HR experience including knowledge of HR administration, compliance, recordkeeping, theories and discipline preferred. Experience in coordinating and executing employee services events preferred. Demonstrated organizational and time management skills with proven ability to multi-task in a fast-paced environment. Ability to work independently, with strong attention to detail, maintaining a high level of accuracy, and taking initiative to improve processes. Experience handling sensitive material and maintaining confidentiality. Excellent communication skills (written, verbal, listening), interpersonal, and customer service (internal and external) skills. Strong computer skills, including Microsoft Office (Word, Excel, Outlook, etc.) and data entry/report writing Human Resources Information Systems. Willing and able to travel infrequently, including overnight travel. Essential Duties and Responsibilities Provide administrative support to the Talent Acquisition function. Coordinates and conducts New Hire Onboarding, including preparing onboarding packets, leading orientation sessions, providing building tours, and reviewing and organizing completed paperwork for personnel files. Serves as a primary point of contact for staffing agencies, communicating and coordinating temporary staffing needs, scheduling interviews, hiring decisions, and escalations. Greets individuals from the staffing agency on their first day of assignment at ATS and gets them to the manager. Reviews invoices and timecards for accuracy. Orders and maintains supplies for onboarding, job fairs, and recruitment events. Prepares and organizes supplies and materials for job fair participation. Provides backup support for recruitment processes, including conducting intake meetings with hiring managers to gather detailed information about open positions, posting job openings on multiple platforms and channels, and scheduling interviews with candidates and hiring managers. Provide administrative support to the HR Administration function. Develops, maintains and updates organizational charts to reflect current structure and staffing. Processes and ensures accurate data entry of HR transactions, including hires, transfers, and promotions. Assists with recordkeeping and documentation retention processes, including imaging, indexing and quality checking documents. Completes departmental expense reconciliation and processes purchase orders. Monitors and responds to emails in the HR inbox or forwards them to the appropriate HR Representative. Develops and updates standard operating procedures and contributes to ongoing process and systems improvement initiatives. Provides backup support for issuing security badges, handling employment verifications, and fulfilling personnel file requests. Provide administrative support to the Employee Services function. Supports Employee Services providing ideas and assisting with activities to enhance employee engagement, including Christmas events, employee appreciation activities, lunch program, retirements, anniversaries, and years of service recognition. Assists with gift card machine audits. Provide administrative support to the Wellness function. Supports and assists in the coordination of wellness programs, including biometrics, flu shot clinics, and blood drives. Provide administrative support to the Compliance function. Serves as backup for compliance processes, including I-9 audits and Restrictive Covenant Agreement audits. Collaborate and participate in team projects of various scope with the HR department. Function consistently, effectively and reliably in accordance with the Company's values as set forth in our core competencies and behaviors to foster ATS's culture (All Employee Competencies). Complete work responsibilities outside of normal business hours as needed and infrequent travel may be required. Perform other duties and responsibilities as assigned. Frequently conversing with internal and external customers in person or via phone system. Compensation & Benefits: * The anticipated hourly pay range for this position is between $22.50- $27.50. Hourly pay rate offered is determined by relevant experience, education, certifications, and geographic location as compared to others doing substantially similar work .
